General Information for New Appointees


Before Arrival
  1. Acceptance of Appointment
  2. The appointee is required to submit the following documents to the Human Resource Division within one (1) month after receiving the offer letter:

    • Letter of Acceptance of Appointment (green form)
    • Declaration form (Appendix E)
    • Medical Check Up Form (UM-PT03-PK02-BR005-S-2)
  3. Immigration Requirement and Travel Arrangements
    1. Offer of employment to international appointee by the University of Malaya is subject to approval of visa and employment pass by the Malaysian Immigration Department.  The University facilitates the application for visa and employment pass on behalf of the appointee prior to his/her arrival in Malaysia.
    2. To facilitate the application process, the appointee must submit the following documents to officer in charge at the Human Resource Division (please see officer’s contact details stated on the letter of appointment):
      • Photocopy of your passport from first page to the last page;
      • Four passport size photographs;
      • Letter of confirmation from current employer; and
      • Details of remuneration and emolument received
    3. The appointee is advised not to make firm travel arrangements to Malaysia to take up the appointment at the University until :
      • The Employment Pass/Professional Pass application has been approved by the immigration authorities; and
      • Other pre-employment conditions (such as full medical/dental practitioner certificate) have been met.
    4. Travel assistance granted is by the most economical means and direct route. The appointee may purchase his/her own ticket to Malaysia and the University will reimburse the amount of the air ticket upon arrival at the University.

  4. Getting to the University
  5. ERL from Kuala Lumpur International Airport to KL Sentral (MYR35.00)
    LRT from KL Sentral to University LRT Station (MYR1.80)
    Taxi direct from KLIA (MYR70.00) or KL Sentral (MYR6.00-MYR10.00)
    Bus direct from University LRT Station (MYR1.00)
On Arrival
  1. Transit accommodation
  2. The University will arrange for transit accommodation (3 night’s stay) for international appointee who requires this service. The University will bear the cost of transit accommodation according to the terms set out in the offer of appointment.

  3. Reporting for Duty
  4. Upon arrival in Kuala Lumpur, staff should:

    1. Contact the Human Resource Division regarding endorsement of the Employment Pass / Professional Visit Pass as well as the Dependent Pass on the passport(s), reimbursement of air ticket and medical check-up, and other related matters;
    2. Report to the Head of Department as soon as practicable; and
    3. Submit the following documents to the Human Resource Division:
    • A copy of bank account and request form
    • Income-tax Form
    • Letter of Undertaking
  5. Income Tax
  6. Appointee is subject to the existing Malaysian Income - Tax Law. Taxes of the University staff are paid to the Malaysian Inland Revenue Board (LHDN) through an automatic deduction of the monthly salary and staff is responsible to file in his/her income tax declaration as stipulated by the LHDN.   7. Other Terms and Conditions
  8. Other terms and conditions are as stated in the letter of appointment.
