The following frequently asked questions are common among those contemplating University of Malaya (UM). This page provides answers to these questions and provides links to useful UM websites that provide additional answers.

No email is coming to my outlook / smartphones. What should I do? 

Referring to the above link, Google is implementing bandwidth quota will hinders / stop email from coming into your devices for a certain amount of time when the quota is reached.

How to update Your UMMAIL profile / password?

Here are some tips to edit your UMMAIL profile 

  • Login to your UMMAIL account
  • Change password, update profile and alternative email address
    • Login to UMMAIL 
    • Click your email address (top right corner)
    • Click account
    • Click Security (Left corner)
    • Click Change password
    • Change your password or your UMMAIL profile here
    • Please sign out and re-login to your UMMAIL account 
  • Change send as name
    • Login to UMMAIL
    • Click option icon (top right corner)
    • Click Settings
    • Goto Account Tab
    • Edit Send as info

How to Create a UMMAIL account?

For staff to be able to create a new UMMAIL account :

  • must have an active staff salary number
  • staff status is active in human resource system
To register a UMMAIL account:
  • go to
  • click create new account
  • enter your staff salary number and IC / passport number
  • follow the guides given to create a new UMMAIL account.

Not receiving email from groups. What should I do?

When you send mail to any group or mailing list you subscribe to, Gmail automatically skips your inbox and archives the message to save you time and prevent clutter. The message will appear in your inbox if someone responds to it or if there is an error delivering the message. If you'd like to view your message, you can find it in Sent Mail or All Mail.

My email is too crowded, what can I do ?

Email Too Crowded. Google has a tool for that.

  • In our email we can filter email received and move them to a designated folder.
  • Please follow the steps given.

Backup your inbox, here's how.

Please be advised that PTM WILL NOT store any backups of your UMMAIL or SISWAMAIL emails. Therefore please backup your email via the methods given.

    - via the second method please take into consideration the bandwidth quota that Google email services is using

How to broadcast official notices?

To properly broadcast an official info to all staff.

Please send the email to
  • (All UM Staff)
  • (All Undergraduate Students)
  • (All Postgraduate Students)
Please follow the basic guidelines to post info to the list; emails which do not follow the guidelines will be rejected.
  • Only Official University and Staff/Student related notices are allowed.
  • Posting must via UMMAIL or UMMC staff's email account ONLY.
  • Posting must NOT be via reply to (RE:) or forward (FWD:) from other emails.
  • Posting DO NOT include any personal advertisement or views.
  • Attachment must NOT exceed 5 MB per email

How to recover my password?

  • Click Password recovery page link
  • Enter your ic/passport number
  • A password recovery email will be sent to your alternative email address

Can I forward my UMMAIL email to another email account (Yahoo,Gmail etc.)?
